Working offline

Tasks fully support offline workflows for field teams without reliable connectivity:

Creating tasks offline

  • Create tasks normally while offline
  • Tasks are saved locally to your device
  • When you reconnect, tasks automatically sync to the server
  • Sync status indicators show “Upload in progress…” during sync
  • If sync fails, you’ll see an error indicator

Viewing tasks offline

  • Tasks downloaded as part of your offline pack are available without connectivity
  • Search and filter work normally offline
  • Task details can be viewed offline

Editing tasks offline

  • Update task information while offline
  • Changes are queued and sync when you reconnect
  • Status changes are tracked locally until synced

Deleting tasks offline

  • You can delete tasks you created while offline (pending tasks)
  • Tasks that were synced from the server can only be deleted when online
  • This prevents conflicts when multiple users are working with the same tasks
If you create a record-linked task offline, make sure the record type is included in your offline pack. Otherwise, you won’t be able to create the record until you’re back online.

Sync indicators

The mobile app shows sync status for tasks: Upload in progress… - Task is currently syncing to the server Upload failed - Sync encountered an error, will retry automatically Synced - Task has been successfully saved to the server Pending - Task was created offline and is waiting to sync Pull down on the task list to manually trigger a sync attempt.

Viewing tasks on the map

In your task list, select the status you want to view (To do, In progress, etc.).
2

At the bottom of the task list, tap View on map. This button appears when you have tasks in your list.
3

The map opens showing all properties and objects with tasks matching your filter. Tap any location to see its tasks in the info panel.
Use map view to:
  • Plan your route by identifying task clusters
  • Understand geographic distribution of your work
  • Navigate to task locations using turn-by-turn directions
  • Identify nearby tasks to complete efficiently

Offline packs and tasks

Tasks are included in offline packs, allowing field teams to work without connectivity: Downloading tasks
  • Tasks within your offline pack boundary are automatically included
  • Download or update your offline pack before heading to the field
  • Tasks for properties and custom objects in the pack are available offline
Offline pack considerations
  • Only tasks within the pack’s geographic boundary are included
  • Record types linked to tasks should also be in the offline pack
  • Updates from other users won’t appear until you sync
  • Large numbers of tasks may increase offline pack download time

Best practices for mobile tasks

Download offline packs before field work - Ensure you have the latest tasks and can work without connectivity Update status in real-time - Change task status to In progress when you start work and Complete when finished, even if offline Use task-guided data collection - When tasks are linked to record types, tap the “Add [record type]” button to create the correct record immediately Sync regularly - When you have connectivity, pull to refresh to ensure you have the latest task assignments and that your changes are uploaded Check map view before driving - Use the map to plan efficient routes that group nearby tasks Review task descriptions - Read the full task description before heading to a location to ensure you have necessary equipment or information Complete tasks promptly - Mark tasks complete as soon as work is done to keep your team informed of progress Take advantage of offline - Don’t let lack of connectivity slow you down. Create, edit, and complete tasks offline, and they’ll sync automatically when you’re back online

Troubleshooting

Solution: Pull down to refresh the task list to sync the latest assignments. If tasks still don’t appear, verify that you’re signed in with the correct account and that tasks have actually been assigned to you. Check the web app to confirm task assignments.
Solution: Check your device’s connectivity. Tasks sync automatically when you have a network connection. If sync is failing, look for error indicators and try pulling down to refresh. If the issue persists, try signing out and back in, or contact support.
Solution: Deletion permissions differ between online and offline modes. When online, you can only delete tasks that have been synced. When offline, you can only delete tasks created offline that haven’t synced yet. This prevents conflicts. If you need to delete a synced task while offline, wait until you’re back online.
Solution: Pull down on the task list to sync the latest changes. If you’re offline, task details will update once you reconnect and sync. Remember that changes made by other users won’t appear until you sync.
Solution: The View on map button only appears when you have tasks in your filtered list. If your current status filter shows no tasks, the button won’t display. Switch to a status with tasks to see the map option.
