Assigning tasks ensures the right team members are responsible for completing specific work. Assignees receive notifications and can easily filter their task lists to focus on their assigned work.

Assigning when creating a task

The simplest way to assign a task is during creation:

Open the task creation form

Create a new task from the Tasks table or from a property or object’s Tasks tab.

Find the Assignees field

In the task form, locate the Assignees field. This is a multi-select dropdown showing all team members in your account.

Select assignees

Click in the field and select one or more team members. You can assign a task to multiple people if the work should be completed collaboratively or if you want multiple people to be aware of it.
Start typing a name to quickly filter the list and find specific team members.

Save the task

Complete the rest of the task form and click Save. All selected assignees will receive email notifications about the new task.

Assigning after a task is created

You can add or change assignees on existing tasks:

Open the task

From the Tasks table or a property’s Tasks tab, click on the task name to open the task details.

Edit assignees

Click in the Assignees field to add or remove team members. You can:
  • Add new assignees by selecting them from the dropdown
  • Remove assignees by clicking the X next to their name
  • Replace all assignees by clearing the field and selecting new ones

Save your changes

Click Save to update the task. Newly added assignees will receive email notifications.

Assigning tasks on mobile

Task assignment works the same way in the mobile app:

Open or create a task

Either create a new task or tap an existing task to edit it.

Tap the Assignees field

The mobile app shows the same multi-select dropdown with all team members.

Select team members

Tap to select or deselect assignees. The selection works the same as on the web.

Save the task

Tap Save to update assignments. New assignees will be notified when the task syncs to the server.
If you assign tasks while offline on mobile, email notifications will be sent once the task syncs when you’re back online.

Email notifications

When you assign someone to a task, they automatically receive an email notification that includes:
  • Task name
  • Who assigned the task
  • The property address or custom object name
  • Task description and due date
  • A direct link to view the task
Notifications help ensure assignees are aware of new work without having to constantly check the tasks table.

Multiple assignees

Tasks support multiple assignees, which is useful when:
  • Collaborative work - Multiple people need to work together on the task
  • Backup coverage - You want multiple people aware in case one is unavailable
  • Cross-department coordination - The task involves multiple teams or roles
  • Training - You’re pairing an experienced team member with someone learning the workflow
While tasks support multiple assignees, there’s no built-in way to divide the work or track which assignee completed which part. If you need granular tracking of individual contributions, consider creating separate tasks for each person.

Viewing assigned tasks

After assigning tasks, team members can filter their task lists to focus on their assigned work. Learn more about filtering tasks, creating saved views, and organizing your task list in Viewing your task list.

Unassigned tasks

Tasks don’t require assignees. You might leave a task unassigned when:
  • You’re not sure who should handle it yet
  • You want to create the task first and assign it later
  • The task is a reminder for the whole team, not one specific person
  • You’re using tasks to track work items before distributing them
To find unassigned tasks:
  1. Go to the Tasks table
  2. Filter by the Assignees field
  3. Look for tasks with empty assignee values

Permissions

Who can assign tasks:
  • Users with Creator role or above can assign tasks
  • You can assign tasks to any internal team member in your account
  • You cannot assign tasks to guests or public website users
Who can be assigned tasks:
  • Only internal team members (staff users) can be assigned tasks
  • External users, guests, and public website visitors cannot be assigned tasks
  • Tasks are internal collaboration tools, not customer-facing features

Troubleshooting

Solution: Only internal users with active accounts appear in the assignee list. Check that the person has been added to your Forerunner account and has an internal user role (not a guest or external user). If they still don’t appear, contact your Customer Success Manager.
Solution: Verify that the user’s email address is correct in their account settings. Check spam folders. If notifications still aren’t arriving, contact your Customer Success Manager to verify that email notifications are configured for your account.
Solution: Tasks can only be assigned to individual users, not to groups. If you need to assign work to a department, you can either assign the task to multiple individuals from that department or assign it to a department lead who can delegate. Another option is to create multiple tasks, one for each team member.
Solution: Open the task for editing, click the X next to each assignee’s name to remove them, and save the task. This will leave the task unassigned. No notifications are sent when removing assignees.
Solution: Yes, all assignees are visible in the task details. When viewing a task, team members can see the full list of people assigned to work on it.
